Key Responsibilities:

  • Serve as the first point of contact for clients and visitors; greet guests and provide a professional, welcoming experience.
  • Provide administrative and operational support to advisors and staff, including preparing meeting materials, correspondence, and presentations.
  • Coordinate office functions such as scheduling, supply ordering, and vendor communications.
  • Assist with document management, data entry, and maintenance of client files and records.
  • Support the preparation and distribution of client communications and marketing materials.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other internal systems to manage workflow and documentation.
  • Collaborate with colleagues to ensure efficient office operations and adherence to firm standards.
  • Assist with payroll or other administrative tasks as needed

Qualifications:

  • 3+ years of administrative or office management experience;
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); comfortable learning new systems.
  • Exceptional attention to detail and organizational skills.
  • Strong communication and interpersonal skills — able to interact effectively with clients and internal teams.
  • Professional demeanor, reliability, and ability to maintain confidentiality.
  • Must be available to work onsite five days per week
